Terms & Conditions

1. Business Identity

Biopharmedia is a specialist trading division and marketing brand operated by Thomas Major T/A Major Creative Group.

Throughout these Terms & Conditions, references to “Biopharmedia”, “we”, “our”, or “us” refer to the Biopharmedia division of Major Creative Group and its associated services.

All quotations, contracts, invoices, project documentation and payment obligations are issued and managed by:

Invoices and project documentation may reference “Biopharmedia” as the relevant service division, industry sector brand or trading identity. Biopharmedia does not operate as a separate legal entity.

2. Scope of Services

Biopharmedia provides videography, photography, editing, post-production, live event coverage, conference filming, interview production, AI-assisted media production, subtitling, translation support and related creative services.

All services supplied will be outlined within the agreed quotation, proposal, email confirmation or project brief.

Any additional work requested outside the agreed scope may incur additional charges.

3. Quotations & Booking Confirmation

All quotations are valid for 30 days unless otherwise stated.

A project booking is considered confirmed once written approval, purchase order, signed agreement or deposit payment has been received.

Biopharmedia reserves the right to decline or cancel bookings at its discretion prior to formal confirmation.

4. Payment Terms

Unless otherwise agreed in writing:

  • 25% deposit may be required prior to project commencement

  • 75% of balance required on completion of filming on-site

  • Final balance due on delivery of project, or within 30 days of project commencement, whichever comes sooner.

Late payments may incur statutory interest and debt recovery costs in accordance with the Late Payment of Commercial Debts (Interest) Act 1998.

Final deliverables may be withheld until full payment has been received.

5. Client Responsibilities

The Client is responsible for:

  • Providing accurate project information and approvals

  • Securing permissions for filming locations, contributors and trademarks

  • Ensuring factual accuracy of supplied scripts, branding and technical information

  • Reviewing deliverables carefully during approval stages

Biopharmedia shall not be liable for inaccuracies, omissions or errors approved by the Client during the sign-off process.

6. AI-Assisted Production

Where AI-assisted tools, automated transcription services, translation platforms, avatar technologies or generative editing systems are used within the production process, Biopharmedia will take reasonable care to ensure professional output quality.

However, the Client remains solely responsible for reviewing and approving all final deliverables, including:

  • Scripts

  • Subtitles

  • Translations

  • Pronunciations

  • Branding

  • Scientific or technical claims

  • Compliance-related messaging

Biopharmedia accepts no liability for errors or inaccuracies approved by the Client following final sign-off.

7. Revisions & Amendments

Reasonable revisions may be included where specified in the project quotation.

Additional revisions, substantial edits, project restructuring or changes outside the agreed brief may incur additional fees charged at Biopharmedia’s standard hourly or project rates.

8. Cancellation & Rescheduling

Cancellation fees apply as follows:

  • Cancellation within 72 hours of the scheduled production date: 100% of the agreed fee

  • Cancellation between 7 days and 72 hours before production: 70% of the agreed fee

  • Cancellation with more than 7 days’ notice: 30% of the agreed fee

Where production has already commenced, completed work and incurred costs remain payable in full.

Reasonable efforts will be made to accommodate rescheduled bookings subject to availability.

9. Intellectual Property & Usage Rights

All footage, photography, edits, project files and creative materials remain the intellectual property of Biopharmedia until full payment has been received.

Upon full payment, the Client is granted a non-exclusive licence to use the final approved deliverables for agreed commercial purposes.

The Client shall not use, publish, edit, distribute or commercially exploit any preview, draft or watermarked content prior to full payment being received.

Biopharmedia reserves the right to use completed work for portfolio, website, social media, awards, showreels and promotional purposes unless otherwise agreed in writing prior to project commencement.

10. Data Storage & Archiving

Unless otherwise agreed in writing, Biopharmedia is not responsible for long-term storage or archiving of project files following final delivery.

Clients are advised to maintain their own secure backups of all supplied materials.

11. Limitation of Liability

Biopharmedia’s total liability arising under or in connection with any project or services provided shall be limited to the total fees paid by the Client for the specific project giving rise to the claim.

Under no circumstances shall Biopharmedia be liable for any indirect, consequential or commercial losses, including:

  • Loss of profits

  • Loss of business opportunity

  • Reputational damage

  • Business interruption

  • Third-party claims

12. Force Majeure

Biopharmedia shall not be liable for delays or failure to perform services resulting from circumstances beyond reasonable control, including but not limited to:

  • Severe weather

  • Venue restrictions

  • Illness

  • Equipment failure

  • Travel disruption

  • Government restrictions

  • Internet or platform outages

13. Governing Law

These Terms & Conditions shall be governed by and interpreted in accordance with the laws of England and Wales.

Any disputes arising shall be subject to the exclusive jurisdiction of the courts of England and Wales.
